What youll do:
Train, coordinate and supervise the accounting staff to efficiently and effectively account for the financial performance of the above mentioned stores in accordance with the financial standards, policies and procedures of the Fred Beans Family of DealershipsReview and monitor assets and liabilities for the above stores and research any items that appear unusual or unreconciled. This includes running schedules periodically and reviewing them with the individuals responsible for those schedulesSubmit financial statements and month end packages to each manufacturer and the management group by the allotted timeHandle the legal issues such as uncollected receivables turned over for collection, NSF checks not collected, lemon law cases, lawsuits, etc. Review periodically with general managers, controller and/or dealer principal, whomever you feel should be notified. Keep files of these issues and if applicable, handle with attorney.Record tax EFT's or other types of payroll payments prepared by the Payroll DepartmentMake quarterly and monthly tax payments and EFT's as instructed by CPA. Prepare any quarterly and monthly sales tax returnsCollect insurance claims and incident reports. Send copy to corporate controller and notify general manager and/or dealer principal of any if you deem they should be awareMaintain a file of disclosure statements for lot or incidental damage to stock units and communicate with managers the proper requirements of disclosure. Report any noncomplianceOversee employee investment account and send annual 1099sPrepare and facilitate monthly office meetingsBe a mentor to the office staff and aid in improving the job efficiency of the office staff. Keep current office job descriptions and perform annual performance reviews.Monitor daily cash and banking reportsSign corporate checks as neededApprove all accounts payable invoices for accounting department purchases.Approve credit line limits for your individual dealership or companyIn connection with Service Manager (SM) and General Manager (GM), assist in hiring and training cashiers for locations. Provide support for cashier/operator training and hiring.Print open R.O. Reports weekly for all open R.O.s over 14 days old and give to the SM. Run a second copy for the GM. (The service manager has the primary responsibility to follow-up on open R.O.s, thus the reason for the liberal number of follow-up days.)Reconcile all bank accounts by the 20th of the subsequent month.Complete finance reserve reconciliations on a monthly basis.Reconcile manufacturer parts statement on a monthly basis.Maintain clean and current schedules, i.e.:Sublet debit balances are supported with an open repair order.Credit balances over 30 days require a status memo on the schedule.Prepaid expenses must be scheduled to amortize over a reasonable time and in the year the expense was incurred, unless approved by the corporate controller.Review detailed General Ledger. Insure proper postings to accounts. Bring repeated errors to the attention of the responsible party to follow up. Pull documentation on policy accounts. Review with department manager. Insure that all accounts have proper authorization.Add all new accounts to the Daily Operating Control Report. Verify doc ties to Financial Statement.Prepare preliminary financial statement and calculate bonuses.Maintain PennDOT contract requirements.Confirm PA banking licenses for all retail providers.
