Payment Coordinator - Aurora, IL (Finance)



Position Summary

Performs payment postings transactions and online credit card payment processing. Manages and process all payment-related activities, ensuring accuracy, compliance, and timely communication with internal departments and customers. This involves handling physical checks, lockbox payments, ACH transactions, credit card payments, and prepayments, while maintaining detailed logs and records. Oversee customer authorization forms, handle declined payments, issue tax credits and refunds, and support the service teams with order notifications and payment status updates.

 What You'll Do:

  1. Scan & post physical checks for bank deposit, at least twice weekly, balance, log & notify.​
  2. Maintain Auth Form Inbox, saving customer Auth forms, obtaining verbal CC information as needed & notifying appropriate departments upon receipt when necessary​.
  3. Maintain Payment Detail Inbox.​
  4. Obtain daily Lock Box check copies via lock box website​.
  5. Load Lock Box Payments, apply, balance, log & notify​.
  6. Load ACH payments daily, post, balance, log, notify & prepare remittance file.​
  7. Process all service credit card prepayments, note orders, notify service teams.​
  8. Post prepayments, balance & log daily.​
  9. Process all customer credit card payments, apply to pay specified invoices & notify AR Reps upon approval/application.​
  10. Follow up on Declined Credit Card payments; push through for invoicing following process after specified time-period.​
  11. Review daily credit blocked service orders, for release or follow up based prepay requirement​.
  12. Provide weekly notification of pending orders to service team. Confirm notification of prepayment receipt to Service Departments.​
  13. Apply prepayments & down payments via offset to clear corresponding invoices.​
  14. Cancel returned customer checks, update log, notify AR Rep to request replacement + fee.​
  15. Issue tax credits & apply internally to clear corresponding tax balances.​
  16. Process all refunds, check & credit card as approved​.
  17. Submit monthly Payment vouchers for Amex & other Merchant Provider(s)​.
  18. Complete customer ACH forms, provide MAC ACH information upon confirmed customer requests.
  19. Other related miscellaneous reporting and work as necessary.

Supervisory Responsibilities: There are no supervisory responsibilities for this position.

 

Work Environment: Office Environment and hybrid.  Three days in the office and 2 days remote.

 

Physical Demands: The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.

 

Position Type and Expected Hours of Work: This is a full-time position.

Monday – Friday 8:00AM-4:30PM or 8:30am – 5:00pm

 

Travel: There are no travel requirements for this position.

 

Required Education and Experience: High School degree or equivalent; additional specialized training. One to two years of experience.
