Procurement Specialist (Information Technology)
The Procurement Support Specialist assists the procurement team in managing day-to-day administrative tasks, coordinating supplier communications, and maintaining accurate records to ensure smooth and efficient procurement processes. This role supports broader procurement goals by ensuring compliance and managing data.
Essential Duties
Administrative Support
• Assist in preparing, processing, and tracking purchase orders.
• Providing end users with updates on order status, tracking, and delivery details
• Maintain procurement databases, ensuring accurate and up-to-date records.
• Requesting quotes from vendors and providing them to the designated point of contact upon approval.
• Reviewing Service Requests to identify completed and closed tasks and coordinate with additional resources for any required follow-up actions.
• Updating report sheets for large-scale onboarding projects
Data & Reporting
• Support the preparation and submission of Procurement's monthly allocation reports for the accounting
team.
• Verifying costs, quantities, and accuracy of information in Service Requests.
• Reviewing total cost details from vendor orders
Process Improvement
• Support the development and documentation of standard operating procedures (SOPs)
Team Collaboration
• Collaborate with internal teams to clarify procurement requirements and timelines.
• Facilitate interdepartmental communication to address procurement-related inquiries and provide requested reports.
• Assist procurement in ordering hardware and software as needed.
